One KU Project Updates

Goal: Establish a unified One KU Data Strategy and Data Warehouse that serves as the foundational platform for enterprise reporting, analytics, data integration, and decision-making across KULC and KUMC. This strategy also advances modernization of the university's data architecture through alignment with KU's broader cloud and technology strategy. This project is part of AIRE's broader One KU Data and Analytics Modernization initiative.

Update: Stakeholder alignment discussions have been completed across AIRE, IT Leadership, Health System IT Leadership, and Research Informatics Leadership. A high-level strategy has been developed. The high-level One KU Data Warehouse strategy outlines short-term and long-term priorities for creating a unified One KU Data Warehouse. More details will be available on the One KU Data and Analytics Modernization website once that site is published.

Goal: Establish a standardized One KU analytics environment that improves governance, reduces complexity and cost, and provides consistent reporting and self-service analytics capabilities for KULC and KUMC. This project is part of AIRE's broader One KU Data and Analytics Modernization initiative. 

Update: The One KU Data and Analytics Modernization website is now published including information about the BI Tool Evaluation and the roadmap for consolidating BI platforms. We have communicated with the Cabinet, academic leaders, VPs, and have identified a broad group of stakeholders. Goal: Establish a unified One KU data governance and stewardship model that provides clear ownership, decision-making, and accountability for institutional data while improving transparency, consistency, and access to trusted information across KU. This project is part of AIRE's broader One KU Data and Analytics Modernization initiative.

Update: AIRE leadership has been meeting with KU leaders about establishing a proposed One KU Data Governance Structure and sunsetting the current KULC IT and Data governance group (ESLG). We are aiming to have the One KU Data Governance structure operational by the end of fall 2026. https://aire.ku.edu/data-governance 

Goal: Develop a comprehensive library of user-facing documentation and metadata, including a data glossary. This project is part of AIRE's broader One KU Data and Analytics Modernization initiative. 

Update: A development environment has been launched and is in development. Metadata is being loaded and methods for adding data to the library are being piloted. The Data Quality and Governance Manager shared a draft for feedback, is developing a future update of the current state, is guiding new development, and is currently working on developing the full proof of concept for review.

Goal: To bring together HR data from both campuses into the AIRE data warehouse and develop standardized data models, analytics tools and reports. The initial phase is focused on simple reports that allow HR leadership to see key data points for employees regardless of campus.

Update: 

• Unified HR reporting and dashboards that combine employee and compensation data across campuses are in development, with the first release targeted for fall 2026. 
• The second working group session was held July 7. Data fields have been determined and this group has begun walking through scenarios (contingent workers classifications, org structure representation, etc.).

Goal: Develop, launch, and manage a new University of Kansas Strategic Framework and alignment processes. https://strategicplan.ku.edu/strategic-framework 

Update: 

• Began formulating the process for analyzing feedback and providing it in a meaningful way to Cabinet and, if/as appropriate to related design teams for use in their deliberations and decisions. KC has scheduled a meeting for May 10 to initiate this work.
• As of August 8, all three design teams have been convened to start their work together. The Strategy Office and AIRE have prepared and will continue to prepare supporting materials and file structures for each team.
• Design Teams are in various stages of affirming their statement of a desired future state, identifying and defining 3-5 outcome metrics to measure success, and preparing processes for stakeholder feedback and input specific to each mission priority area. 
• Corinne Bannon continues to engage the KULC/KUMC communities to obtain feedback on the framework. As of Oct. 5, approximately 2,500 attendees have participated in 35 engagement sessions.

Goal: Expand constituent surveys process to all KU campuses. 

Update: 

• This project is complete. On October 13 communication was sent out to staff on both campuses sharing the overall results of the Great Colleges to Work For (GCTWF) survey. The GCTWF advisory group also set up three engagement sessions to staff to take place this winter. The goal of these sessions is to facilitate conversations on the results and discuss recommendations for improvement.   
• The planned Collaborative on Academic Careers in Higher Education (COACHE) Faculty Job Satisfaction Survey in Spring 2027 has been cancelled because COACHE has disbanded. AIRE is exploring alternatives.

Goal: The One KU myResearch Expansion project is extending KU's enterprise research administration software platform to support the full One KU research enterprise. The initiative will bring key research administration functions into a more integrated environment, helping researchers and research support staff navigate activities across the research life cycle more efficiently while improving access to information and reducing reliance on disconnected systems and processes. When fully implemented, myResearch will support a comprehensive suite of research administration functions, including sponsored-project management, compliance activities, agreements and contracts, and other research support services.

Update: The One KU myResearch Expansion project continues through a phased, multi-year implementation of KU's enterprise research administration platform. The first major milestone, the myAgreements module expansion to KU Lawrence, is scheduled to go live on Oct. 12, supporting a more integrated approach to managing research-related agreements across the One KU research enterprise. A new One KU myResearch landing page has been launched to serve as a central source for project information, implementation updates, timelines, training materials, and future expansion activities.

Goal: Create a more seamless and consistent research support ecosystem across One KU by aligning research administration, operations and services. The initiative focuses on reducing administrative burden, improving service delivery and strengthening collaboration so researchers can more easily navigate research support across campuses.

Update: The One KU Research Snapshot launched in September as a new resource for sharing progress on One KU Research initiatives. It provides regular updates on accomplishments, priorities and upcoming work to strengthen research administration and operations across KU, organized around three focus areas: efficiency optimization, effective communication and risk tolerance. The Snapshot will be updated regularly as work progresses. 

Goal: Create a coordinated One KU Research AI ecosystem that enables researchers, staff and students across all KU campuses to responsibly leverage artificial intelligence in research, research administration and innovation. The initiative will align expertise, governance, training, infrastructure and support services to accelerate discovery while reducing duplication and ensuring consistent guidance across the university.

Update: 

• Research, technology and administrative leaders from across KU are collaborating to establish a One KU approach to AI. Current efforts focus on identifying shared opportunities, developing governance and guidance resources, coordinating training and community-building activities, and exploring technology solutions that support research and administrative needs across the institution. By creating a more connected AI ecosystem, KU can better support innovation, strengthen competitiveness and enable collaboration across disciplines and campuses. 
• To complement a robust series of ongoing stakeholder meetings, the One KU Research Tech & AI Town Hall on Friday, Oct. 9, invited the entire KU research community into the conversation — providing updates on ongoing initiatives; discussing emerging priorities; previewing technology, AI and data resources that will help advance research across One KU; and answering questions from community members.

Goal: Develop a unified One KU high-performance computing ecosystem that expands access to advanced computing resources, expertise and support across all KU campuses. The initiative seeks to strengthen research capacity, improve operational efficiency and create a more seamless experience for researchers who rely on advanced computing, data-intensive research and artificial intelligence.

Update: 

• KU research and information technology leaders are working to align high-performance computing resources, expertise and strategic planning across the One KU enterprise. Efforts include evaluating opportunities to coordinate infrastructure investments, enhance user support, expand training and improve access to advanced computing capabilities for researchers regardless of campus location. This work will help position KU to meet growing computational research needs, support emerging AI applications and strengthen the university's ability to compete for research funding and partnerships.

Goal: KULC and KUMC project management offices are aligning intake, prioritization, and governance processes to support enterprise-wide decision making.

Update: 

• KUMC: The KUMC 2-tier project prioritization team structure/process is in place. Planning and implementation for strategic portfolio management module in ServiceNow continues. When implementation is complete, this will replace the various KUMC IT project/enhancement intake processes currently in place with a single intake. 
• KULC: Waiting on leadership decision.

Goal: Establish a shared identity management solution that provides secure, consistent, and seamless access to institutional resources while enabling One KU integration, strengthening cybersecurity, improving user experience, and supporting enterprise-wide governance across campuses. 

Update: 

• One KU Password Policy Alignment (alignment of password syncronization process for UKHS & KUMC through IDVault): Complete
• One KU Identity Warehouse: Master user records have been created, merging KUMC & KULC identity information. The effort to replace existing KUMC & KULC identity infrastructure for authentication is anticipated to be begin in early January 2027 and run through mid to late March.
• Single Login Experience Initiative: Complete
• One KU Session Timeout Alignment: Not started

Goal: Implement a common facilities management system across KULC and KUMC to standardize maintenance and asset management processes, improve operational visibility and decision-making, increase efficiency and support enterprise-wide facilities planning and service delivery. Planning is underway to transition KUMC facilities operations from FAMIS to Maximo following completion of the Lawrence campus upgrade. 

Update:

• Phase 1 implementation is complete, with no major issues reported after go-live. Follow-up training and mobile onboarding continue, and the SSO/Maximo configuration item is being monitored with no current user impact.
• Phase 2 planning is progressing, with early KUMC data review and onboarding discussions planned. The team will evaluate identifier/data separation options, before broader planning continues.

Goal: Develop and implement a comprehensive One KU budget process that aligns policies, practices, procedures, and monitoring practices across all campuses to ensure consistent budget planning, effective variance management, and accountable, data-driven financial decision-making. 

Update: A two-day budget redesign workshop is scheduled for October 8 and 9, 2026, to develop an integrated, transparent and sustainable to meet the evolving higher education landscape. 

Goal: Create a comprehensive One KU procurement model to align policies, processes, and purchasing practices across KULC and KUMC and ensure strategic spend management, operational efficiency, and effective use of the university's collective purchasing power.

Update: The comprehensive One KU procurement model is dependent upon the decisions and progress associated with the Reimaging the CFO Organization project. We anticipated refocusing our efforts on the One KU procurement model in the near future allowing procurement alignment work to move forward. https://procurement.ku.edu/ 

Goal: The Ombuds Office currently reports to the Office of the Provost for administrative and budgetary purposes only and functions independently with respect to case handling and issue management. A review committee is evaluating the future Ombuds model to ensure it meets the needs of a One KU institution.

Update: The Ombuds Role Review Committee submitted their proposal and it is under review.

Goal: Building on a prior collaboration to provide digital health literacy programming for currently and formerly incarcerated women, this interdisciplinary initiative stives to examine the syndemic factors underlying substance use among justice-impacted women, identify multilevel determinants of treatment engagement and relapse during community reentry, and translate the findings into a scalable, gener-responsive digital health referral intervention. Ultimately, aiming to establish an empirical foundation for subsequent intervention testing and advance gener-responsive approaches to reducing substance use-related health disparities among justice-involved women, approximately 70% of whom meet criteria for a substance use disorder.

Update: Project has advanced to Phase 2 of the CoBRE BD-WH competition, supported by a grant from the National Institutes of Health.

Goal: School of Journalism and Mass Communications and the Institute for Information Sciences, researchers from nine units/centers across KU are working to organize a national conference on computation, AI, and journalism to be held in 2027. Organizing team is seeking a partner at KUMC to help develop a conference session on computation, AI, and health journalism.

Update: Conference planning is in the beginning stages.
